Booking & Flexible Deposit 

To make your booking process simple, we have a quick and simple booking process. 

  • Deposit : A 20% non-refundable deposit is required to reserve your spot. 
  • Final Payment : You can pay the remaining balance when you arrive in Kathmandu before your trip departure. 
  • Payment Methods : We accept all major currencies, including USD, EUR, GBP, and AUD, in cash or via credit/debit card. 
  • No Hidden Fee Guarantee : Unlike many other agencies, we prioritise transparency. As Banks/Cards charge processing fees, we always let you know upfront so there will be transparency between us.

Our Lifetime Deposit Promise 

We understand that life is unpredictable, so if you need to cancel your trip due to any issues like illness,family emergencies or travel restrictions.

  • Infinite Validity : Your deposit doesn't expire, as you can use it for your future trek, tour or service with us. 
  • Transferability : You can also gift or transfer your deposit to your close ones at no extra cost.
  • No Question Asked : We do not require a “doctor's certificate” or proof of emergency. If you can't make it, we trust you. 

Cancellations and Refunds 

  • 30+ Days Before your trip : Your deposit will be converted to a Lifetime Deposit. Any additional payment that was made will be refunded 100%(minus bank processing fee)
  • Within 30 Days : Any payments that are made above the deposit will be refunded after deducting the non-refundable fees for domestic flight tickets and hotel prepayments. 
  • After Trip Start : No refunds are available for early completion of trek and tours or unused services, as our staff and logistics are committed for the full duration. 

Ethical Trekking: Porter and Staff Welfare 

We believe in ethical tourism. Our staff is the backbone of your experiences. 

  • Weight Limits : Our porters are liable to carry maximun of 20 kg, so please pack your bag accordingly. 
  • IPPG Standards : We strictly follow International Porter Protection Group guidelines. We have provided our porters and guides with proper medical insurance, necessary gear, and fair wages.
  • Your Impact : By booking with us, you are investing in an ethical supply chain that treats local mountain communities. 

Mountain Logistics and Flight Delays

Everyone knows that Himalayan weather can be unpredictable at times. 

  • Flight Delays : Due to the weather, if the flight is cancelled, we will handle all re-booking logistics at no service charge to you. 
  • Extra Costs : We provide the logistics support, while additional costs for extra hotel nights or helicopter evacuations will be the responsibility of the client, which are usually covered by the travel insurance. 

Travel Insurance - Mandatory 

For your safety, we request you to have travel insurance that covers high-altitude trekking upto the maximum altitude of your trek. It should cover emergency helicopter evacuation and medical expenses. Please provide your insurance details prior to departure so we can act as quickly as possible in an emergency. 

Safety,Conduct and Respect 

Experience is our priority, so we make sure there won't be any issues that hinder it. 

  • Refuse of Service : Adventure Glacier reserves the right to terminate the service in case of any abusive behaviour, excessive intoxication or harassment toward our staff or fellow trekkers. 
  • Cultural Respect : We request our clients to respect local customs, religious sites and make sure you comply with the principle of Leave No Trace. 

Use of Photography 

Our team may take photos and videos during your trek or tour for social media and marketing purposes. If you don't prefer to be featured. Please simply let us know before the trip starts, and we will respect your privacy fully.
